Duties will include, but are not limited to: managing the office calendar for all professionals. Daily tasks include ensuring all deadlines are correct, drafting correspondence, writing articles, arranging events, proofreading of all professional reports and other documents, creating and/or editing power point presentations, managing the exhibition schedule and all arrangements for shows; and provide general administrative assistance including answering phones, data entry, filing, greeting clients, and making travel arrangements. <br>

The ideal candidate is a motivated self-starter with exceptional organizational skills, computer skills, attention to detail and a “take ownership” attitude. Knowledge of Microsoft Office Pro and QuickBooks Pro is an absolute must. Knowledge of ACT software is a plus. Exceptional eye for grammar, spelling and formatting is also key. <br>

Mandatory computer skills (typing and use of Microsoft Office Pro / QuickBooks Pro). <br>
Customer service skills (answering the main phone line, contacting customers and vendors via phone or email) <br>
Enthusiastic and energetic personality. <br>

The Executive Assistant/Office Manager (EA) is at the heart of the action in our organization that has local, national and international partners and an office in Southeast Asia. <br>
<br>
The EA provides high-level support primarily for the CEO and Chief Operating Officer/General Counsel. The EA also at times supports other members of the Executive Team, including the Chief Technology Officer and Vice Presidents.<br>
<br>
Under the supervision of the COO/General Counsel, the Executive Assistant is responsible for providing overall office management support and assistance with all administrative functions as needed for a small, but high output office. Responsibilities may include scheduling/coordination of meetings and travel plans, word processing, preparing meeting and presentation materials, editing written materials and papers, writing correspondences, updating contact databases, collecting time sheets, and collecting and organizing credit card statements and expense reports.<br>

He/she coordinates and supports the CEO and COO’s activities to ensure organizational efficiency, including scheduling calls and meetings, making travel arrangements, managing information flow and correspondence, supporting fundraising activities, and tracking activities and deadlines. The EA uses independent judgment to prioritize issues that require the CEO and COO’s attention, communicates essential information and important messages to all officers and directors when off-site, communicates professionally with board members, donors, and leaders of partner organizations, plans and implements board meetings and some small events, maintains office directory and calendar, and is also responsible for other special projects and duties as assigned.<br>

The EA manages the CEO’s complex calendar, making travel arrangements, tracking his schedule and helping prepare documents and information needed for speaking engagements, meetings or trips. In addition, the EA interacts with Board members’ staff to schedule and organize board meetings and InSTEDD-related travel and meetings.<br>
<br>
The EA assists with grants and contracts management: grant writing preparation, including proofreading grant proposals and reports, managing work flow and meeting deadlines for individual and corporate funder solicitation letters, writing acknowledgment letters.<br>
• Works with an outside website designer to maintain the organization’s website;<br>
• Depending on experience, designs, edits and produces brochures, program information packets, appeals and any other printed material used for presentations, meetings and to solicit donations.<br>
• Acts as primary contact for and manages all equipment and facility needs, including purchasing and distribution of office supplies.<br>
• Sorts and distributes incoming mail.<br>
• Responds to queries about organization’s work, directing questions to correct organization members for follow-up as necessary.<br>

· Outstanding written and verbal communication skills are required as is the ability to work both independently and as an integral member of various teams is required. 
· Strong organizational skills and detail-orientation is necessary.

We're looking for a dynamic, high-energy individual to become our Office Manager. The role will encompass 5 key areas;
<br>

<br>
•	Coordinate our finances/books using Quickbooks – requiring diligence and a very firm grasp of bookkeeping and QB
<br>
•	Manage HR – help with recruiting, employee development, create employee manuals, process payroll, on-board process – requiring sensitivity, compassion and organizational skills
<br>
•	‘Office’ management – you will make sure everybody has what they need, the place is neat and organized, we have appropriate supplies, etc. – again requiring strong organizational skills
<br>
•	Provide administrative support for the executive team – help with schedules, travel plans and putting presentations together – your written English will be beyond compare
<br>
•	Special projects – events, tradeshows, etc. – anything not covered by the above.

The role reports directly to our VP Business Operations and the ideal candidate will play a central role in keeping the business operations organized, be a central figure to every employee and be a key member of the team. You must have exceptional communication skills, the ability to manage multiple tasks efficiently, excellent judgment; comfortable juggling tasks from the mundane to the more strategic and can work productively in a fast-paced, team-oriented environment with a smile and a sense of humor.

Duties

•	Schedule management.

•	Making travel arrangements and preparing itineraries.
<br>
•	Coordinating meetings and group events.

•	Maintaining our finances using Quickbooks.

•	Manage customer invoicing/collection and accounts payable.

•	Tracking budgets.

•	Prepare & track expense reports.

•	Generating financial reports.
<br>
•	Managing HR requirements.
<br>
•	Coordinating hiring activities and schedules.

•	Managing outside recruitment agencies.
<br>
•	Managing payroll and benefits with suppliers.
<br>
•	Coordinate contractors.
<br>
•	Order and manage supplies, computer equipment and other assets.
<br>
•	Maintain asset register.
<br>
•	Participating in key projects.
<br>
•	Interfacing with high level executives both internally and externally in a professional, effective manner.

•	Attend staff meetings and track action items.
<br>
•	Handle highly sensitive, confidential and non-routine information.

Requirements

•	5+ years administrative experience supporting a team in a fast paced, high-tech environment.
<br>
•	Exceptional communications skills.
<br>
•	Ability to manage multiple tasks effectively with frequent interruptions and work productively in a fast paced, rapidly growing organization.

•	Expert Quickbooks user.
<br>
•	Proven mastery of Office applications including Word, PowerPoint, Excel and Outlook.

•	Knowledge of HR processes.
